Grant Application Guide for Postdoctoral Researchers /gradstudies/py-staff-area/external-postdoctoral-grants-guide/ Tue, 22 Apr 2025 19:33:53 +0000 /gradstudies/?page_id=64026 This guide is designed to support postdoctoral researchers developing an application as an Applicant for grant opportunities to be held while at 91亚色.

Postdoctoral researchers at 91亚色 may be eligible to apply for research grants, as permitted by the funding agency. Both categories of postdoctoral researchers (PDVs and PDFs) are potentially eligible. The supervisor must agree to hold the cost centre at 91亚色 in their name and must be supportive.

Important Information on Required Approvals prior to Proceeding with an Application for Funding

Please visit Postdoctoral Researchers Applying for External Funding to be Held at 91亚色 for important information on required approvals for grant applications to be held while at 91亚色.

You are encouraged to reach out to the Postdoctoral Services and Professional Skills Coordinator for assistance as soon as possible if you are considering a grand application. With at least three weeks' notice in advance of the funding agency's deadline, they can provide a detailed review of your application, reviewing the application against program guidelines and best practices to improve the quality and competitiveness of your application.

Why Seek Out Grant Opportunities

For some postdocs at 91亚色, applying for grants as a Principal Investigator (PI) may be an important part of their professional development during their fellowship. Grants assist early career researchers to acquire further research experience in that they facilitate leadership, dissemination activities, and networking opportunities.

For other postdocs at 91亚色 who may collectively contribute to a grant application led by their supervisor (who will be the PI on the grant), such an experience contributes to early career researchers鈥 insights towards applying for funding opportunities, formulating research plans, and effective collaboration. In such cases, your PI will work directly with their anchor Faculty鈥檚 research office on the submission.

In addition to the associated financial benefits, applying for grants enables fellows to enhance their leadership capacity and to gain experience as they train to become independent researchers.

Note on Postdoctoral Fellowships vs. Grants: Normally, fellowships offer funds to cover salary/stipend and may include some funding for research expenses, while grants are awarded to cover research costs and may not be used for the salary of the awardee.

Common Qualities of Successful Applications

The components of grant applications will differ widely based on the specific opportunity, so it is recommended that applicants consult the award criteria early in the process. Some common qualities of successful applications include:

  • Clear and concise writing that clearly states the significance of the proposed research.
  • Recognize that reviewers may not be experts in the applicant鈥檚 specific field, so discipline-specific terminology and concepts should be explained.
  • Each section responds to the required content and to the evaluation criteria.
  • The appropriateness of the research methodology is evident and grounded in leading edge research in the field.
  • The project is feasible (including timelines, project budget and the appropriateness to the postdoc鈥檚 career stage).

Approval Requirements

In line with the general requirements outlined at Postdoctoral Researchers Applying for External Funding to be Held at 91亚色, please note that grant applications require approval from the Office of Research Services (ORS) prior to submission to the funder/agency. This is a two-step process that requires approval first within FGS and then by ORS. Applications generally need to be submitted to the Postdoctoral Services & Professional Skills Coordinator at least 10 business days before the agency deadline in order to meet the minimum requirements for deadlines for submission to ORS in order to obtain a signature based on the type of application outlined in the (.pdf).

This approval structure provides the best possible service to researchers and to ensure the interests of both the institution and researchers are protected. It is therefore crucial that application timelines are reviewed well in advance to facilitate the necessary approvals prior to application submission to the respective funder/agency.

Additional details on ORS approval for grant applications:

  • An (.pdf) must be filled in and signed by the postdoctoral researcher on page 2 as the applicant. No department chair鈥檚 signature is required. The Postdoctoral Services & Professional Skills Coordinator will facilitate the Dean鈥檚 signature.
  • Many funding applications from postdoctoral researchers do not include institutional commitments from 91亚色. If the application includes institutional commitments (cash or in-kind resources committed by a unit at 91亚色 above and beyond the regular operating infrastructure available to you as a postdoc), the commitments must be confirmed in writing (on the ORS Checklist or by e-mail) by the source (i.e., the supervisor鈥檚 Dean鈥檚 Office, Research Centre or Institute Director). Questions about institutional commitments should be directed to the Postdoctoral Services & Professional Skills Coordinator.
  • The proposed supervisor must provide an emailed confirmation to the Postdoctoral Services & Professional Skills Coordinator that they agree to hold the cost centre (the account at 91亚色 with the funding) in their name should the application be successful.
    • The email confirmation should also include a statement that they support the application and will provide the applicant with the necessary supports to carry out the proposed research.
  • A complete copy of the application, together with a completed and fully signed ORS Checklist, must be submitted to the ORS by e-mail to researchapps@yorku.ca for review and institutional approval by the deadline set by ORS (typically 48 hours before the competition deadline).

If your application is successful, you must maintain an eligible postdoc or other appointment at 91亚色 to continue holding a research grant. If you are moving to another eligible institution, a transfer of your grant to your new institution will be required. If you are not moving to another eligible institution, your grant will be terminated and any remaining funds returned to the funding agency.

2024 Graduate Studies Academic Remediation /gradstudies/students/current-students/2024-academic-remediation/ Wed, 24 Apr 2024 15:53:09 +0000 /gradstudies/?page_id=57246 The disruption resulting from CUPE 3903 strike has ended. The full announcement can be found on the Senate Executive website. The remediation period for the Winter term begins on Monday, April 22 and will last for five weeks until Sunday, May 26. This includes four weeks of classes/assessments, and a week for final exams (if applicable). Since many graduate courses do not have a final exam, the exam period can be used to support additional coursework. Please speak to your instructor about how the remediation period will be used for your course so you understand what is required and when.

The first summer term (S1) will start as normally scheduled on Monday, May 6 to Monday, June 17, with exams between Wednesday, June 19 to Friday, June 21.

The second summer term (S2) is delayed to Tuesday, July 2 to Wednesday, August 14. The exam period for this term will take place on Friday, August 16 to Friday, August 23. The list of course offerings for the S2 session will be available on the 91亚色 Courses website in the coming weeks. Students will be notified when the updated offerings become available.

The full summer term (SU) has been adjusted to Tuesday, May 21 to Wednesday, August 14, with exams running from Friday, August 16 to Friday, August 23.

If you are unable to complete in-person course requirements you are encouraged to work collaboratively with your individual course directors to make appropriate/reasonable arrangements for the course completion virtually rather than in-person. If you are unable to make appropriate arrangements with your course director, please immediately bring the matter to your graduate program director. And, failing that, to the Associate Dean of Student Affairs by email at fgsadst@yorku.ca.

We recognize submitting coursework and meeting established academic timelines during the remediation period may not be possible under individual circumstances. If that is the case for you, we encourage you to work collaboratively with your individual course director(s) to establish new deadlines, using the FGS course transaction form. If they are not available, or an agreement cannot be reached, you should reach out to your graduate program director. If this can鈥檛 be resolved at the program level, please connect with our Associate Dean of Students by email at fgsadst@yorku.ca. We encourage students to speak to their supervisor, faculty advisor, or graduate program director about their plans for completing coursework, before taking this option.

As a one-time only option, you can petition to drop Winter 2024 or Fall/Winter 23-24 (Y) courses without receiving a W (withdrawal) on your transcript. These petitions will be administratively approved and will require no documentation, provided they are submitted by December 31, 2024 鈥 no exceptions will be made to this deadline.

There is a separate process for these petitions. Guidelines for submitting 2024 Strike-Related Petitions can be accessed on our Petitions webpage. We encourage students to speak to their supervisor, faculty advisor, or graduate program director about their academic plans before taking this option.

We recognize that the labour disruption may have impacted progress on degree milestones other than courses. If you are anxious about completing your degree requirements during their remaining semesters, as a one-time only option, you may wish to petition for a General LOA for Summer 2024. This will be administratively approved and will not require documentation. It will also not affect eligibility for other future leaves. This petition is only available during the remediation period (April 22 to May 26) and cannot be applied for retroactively. Students should speak to their supervisor and graduate program before making decisions on applying for the strike specific SU24 LOA petition. International students should also consult with on how any leave of absence may impact their status in Canada.

There is a separate process for these petitions. Guidelines for submitting 2024 Strike-Related Petitions can be accessed on our Petitions webpage on the FGS website. We encourage students to speak to their supervisor, faculty advisor, or graduate program director about their academic plans before taking this option.

Many graduate students are engaged in thesis or dissertation research or are preparing for degree milestones like comprehensive exams.  FGS-governed milestones timelines will not experience any adjustment. However, graduate programs may have adjusted some program specific milestone timings. We encourage you to reach out to your graduate program to confirm if there have been any timing adjustments.

International students who are considering petitioning for a LOA for Summer 2024 are encouraged to speak with an International Student Advisor & Immigration Specialist at , as well as an academic advisor. Taking a leave of absence could have implications for your visa status, depending on individual circumstances.

If you need additional assistance, please consider utilizing one of our current students services or if you need support for your mental health and well-being, we recommend connecting with our wellness resources for graduate students.

Reflecting on 2022: Important initiatives taking flight at FGS /gradstudies/2022/12/22/2022-reflections/ Thu, 22 Dec 2022 14:20:00 +0000 /gradstudies/?p=50032

91亚色 developed its most recent University Academic Plan (UAP) in 2020, which included a university-wide challenge to contribute to the United Nation鈥檚 Sustainable Development Goals (SDGs). The SDGs act as a framework to take urgent action in 17 areas that are critical to ensure peace and prosperity for people and the planet. 91亚色鈥檚 SDG challenge has enabled faculty, staff and students to think outside the box and create meaningful change in the community. From addressing SDG #4 (Quality Education) to SDG #10 (Reduced Inequalities), here are just a few of the important initiatives that took place at the Faculty of Graduate Studies (FGS) in 2022.

Over 400 research and professional development initiatives have been funded through the Academic Excellence Fund (AEF). Many graduate students rely on internal funding in order to cover and subsidize research expenses. This easily accessible fund provides the resources necessary to present and publish research, collaborate with others and participate in professional development activities. Supporting quality education (SDG #4) embodies 91亚色鈥檚 commitment to fostering a positive educational experience for all.

computer on a desk with the words "FGS reflects on 2022" on the computer screen

Graduate Student Wellness Services welcomed their first clinical practicum student. The addition to the Wellness Consultation & Counselling team during the 2021-22 academic year provides greater access to grad-specific counselling at 91亚色. This initiative promotes good health and well-being (SDG #3) through the easily accessible wellness consultations, which can provide a starting point for students seeking to enhance their personal mental health.

Meta endowed a prestigious $250k fellowship. This endowment establishes the first-ever corporate-sponsored graduate fund for sustaining vision research at 91亚色, which the University has dedicated to its Centre for Vision Research. SDG #9 (Industry, innovation, and infrastructure) emphasizes how important it is to promote innovation in order to enable positive change and foster a successful community. 91亚色 has been producing cutting-edge work in vision research for decades and now has further support to continue this globally impactful work.

Four outstanding scholars were named recipients of the 2022 Postdoctoral Fellowships for Black and Indigenous Scholars. Sylvester Aboagye, Landing Badji, Leora Gansworth and Graeme Reed are this year鈥檚 recipients of the fellowship. This important initiative sets individuals up for a successful career by providing four scholars annually with a salary of $70,000 per year for a two-year term and supporting their research and collaboration endevours.

FGS partnered with the Office of the University Registrar (OUR) and the Indigenous Council to build an Indigenous Queue in Grad Adjudication. This new feature enables the review and contextualization of Indigenous applications by Indigenous Faculty members and responds to the Indigenous Framework's call to increase the recruitment and admission of Indigenous applicants. This initiative acts as a key opportunity area for 91亚色 to facilitate greater access to higher education and is reflective of SDG #10 (Reduced Inequality). 91亚色 aims to promote an inclusive research culture by creating policies and initiatives that encourage equality and hopes that other institutions follow suit.

The number of Indigenous Ontario Graduate Scholarship (OGS) Awards increased annually for Indigenous graduate scholars. The additional resource will enable Indigenous researchers to access much needed funding, promote culturally responsive research and engage in collaborative initiatives.

Academic integrity training becomes mandatory for incoming Graduate students. FGS鈥 commitment to academic honesty is at the forefront of this initiative. By establishing a mandatory academic integrity training requirement for incoming graduate students effective 2023, 91亚色 is committed to academic honesty.

FGS standardized program-level guidelines for Graduate Milestone Examinations. To enhance the graduate student experience and support timely completion of studies, FGS supported the creation of Standardized program-level guidelines for Graduate Milestone Examinations such as the comprehensive examinations and research evaluations.

Postdoctoral researchers now have access to the Individualized Development Plan (IDP). The IDP is employed to structure conversations with one鈥檚 supervisor concerning professional skills development and to provide a framework for navigating various opportunities at the institution. This resource acts as a valuable tool for postdocs that can enable them to build a successful career.

FGS partnered with UIT to build an online portal for graduate petitions. Digitizing the petition process eliminates a paper based and manual process, allowing submission tracking and online access for ease of file review. This initiative is a key opportunity to support the graduate student experience and improves the quality and efficiency of services. Introducing online platforms into the community and eliminating paper use also promotes sustainable lifestyles, which is an important part of SDG #12: Responsible Consumption and Production.

Future students can find out more about 91亚色 and everything the university is undertaking for the success of the community through the newly Launched Choose Grad 91亚色 initiative鈥 the first ever graduate conversion event. These events include: 1) a breakdown of the different parts of an offer of admission, which may include different types of funding; 2) a networking opportunity with alumni who have translated their studies into successful careers; 3) a chance to compare admissions offers and learn how to navigate the degree once the applicants have accepted their offer from 91亚色.

91亚色鈥檚 SDG Challenge is ongoing, and the new year will welcome a number of other important initiatives, inspiring members of the 91亚色 community to act as agents of positive change.
