Office of Research Ethics announces new Research Ethics protocol form

In an effort to streamline and harmonize the Research Ethics review processes and protocols and enhance compliance with current guidelines, the Office of Research Ethics (ORE) has updated a number of research ethics related documents.

We are pleased to inform you that the updated HPRC Protocol form for Research Involving Human Participants is now available on our .

Researchers are reminded that as of January 2017, ONLY online submissions of the HPRC protocol form will be accepted. In other words, paper copies of the HPRC protocol form will no longer be accepted. (Exceptions will be made, however, for those researchers that require it)

What’s new?

In addition to the updated HPRC protocol, a number of other documents have been updated or newly created to provide researchers with the resources they need to complete the ethics review process.

New/updated documents include:

  • HPRC Protocol Form
  • HPRC Informed Consent Form Template
  • HPRC Adverse Events Reporting Form
  • HPRC Amendment Request Form
  • HPRC Procedures to ensure ongoing compliance
  • HPRC Renewal Request Form
  • Participant consent for use of images
  • Pre-release of research funds application form
  • Research Team Member confidentiality agreement
  • Checklist for Researchers - Aboriginal Related Research
  • Debriefing Consent Form

New/Updated guidelines:

  • Research involving Investigator's Students

Need help?

The Office of Research Ethics offers a number of training and outreach activities to assist researchers in completing their ethics protocols:

  • ‘Brown bag’ presentations: Starting January 18, the Office of Research ethics will host monthly Ethics presentations for the research community.
  • One-on-one meetings: Appointments can be made at any time with ORE staff for advice and consultation on protocol submissions.
  • Training of delegated review committees: For delegated review committees conducting reviews of course-related research, contact ORE to book a training session.
  • Ethics 101: This is a presentation on ethics policy and procedures, which is available to any undergraduate or graduate class, faculty council, or any other group that requires it.

Office of Research Ethics Urges Attendance at Information Session on Streamlining and Harmonization of Review Processes

In an effort to streamline and harmonize the Research Ethics review processes and protocols, the Office of Research Ethics has updated two key documents, which will come into effect January 2017.

The benefits include:

  • Increased efficiency of the review process and reporting due to greater clarity and precision at the start;
  • Enhanced compliance with current guidelines as the result of more streamlined or harmonized processes and an enhanced common or mutual understanding of expectations; and
  • Time saver: Reduced Ethics review time through both increased efficiency and enhanced compliance.

In short, these streamlined processes and protocol(s) will be a win-win for all those engaged in research at 91ɫ and the Office of Research Ethics.

Learning about these new forms will be vital, so the Office of Research Ethics is hosting two information and consultation sessions for faculty and students. These sessions will fully profile the Streamlining and Harmonization of Research Ethics Review Processes and Protocols, as well as the new forms. They will also provide an important opportunity for discussion.

We strongly encourage attendance at one of these sessions.

91ɫ and Southlake Regional Health Centre have signed a reciprocity agreement enabling researchers engaged in collaborative research projects at both institutions to undergo review by one research ethics board at the host's institution.

“This agreement enhances collaboration for researchers at 91ɫ and Southlake,” said Robert Haché, 91ɫ vice-president research & innovation. “By signing this agreement, 91ɫ and Southlake are taking steps to streamline our efforts and maximize our resources to promote greater efficiency of the ethics review process.”

Pat Clifford, director of research at Southlake, echoed Haché’s sentiment and said heis encouraged by the agreement, as it will lay the groundwork for Southlake to work with 91ɫ on additional collaborative research projects.

“As Southlake transitions to a ministry-designated teaching and research facility, our relationships and collaborative efforts with our academic partners will become increasingly important,” said Clifford. “This agreement is illustrative of our commitment to advancing our academic and research agenda, and I’m thrilled at the prospect of being able to free up resources so we can conduct additional research with more efficient and less redundant process.”

As part of this agreement, only one board of record will exist for any study conducted at either institution and it will be either the 91ɫ Research Ethics Board or the Southlake Research Ethics Board depending on the location where the majority of the work will be conducted and/or thehome institution of the majority of the researchers.

As the board of record, Southlake’s Research Ethics Board and the 91ɫ Research Ethics Board may approve, reject, propose modifications to, put on hold or terminate a research study at its sole discretion.

The 10-storey 91ɫ Research Tower provides new facilities purposely designed to help graduate students be more effective researchers on floors six, seven and eight.

Professor Susan Henders, director of the 91ɫ Centre for Asian Research, spoke about the new facilities during a recent research celebration. Her remarks are available on the Research Web site's multimedia centre.

The building, which recently receivedLeadership in Energy & Environmental Design (LEED), opened in September 2009 andfeatures approximately 84,000 square feet (net) with wireless Internet access. It currently houses 12 research centres and two research project teams, and also provides office space for the and (ABEL) group, which provide support services for researchers. The Office of the Vice-President, Research & Innovation, Office of Research Ethics and Office of Research Services occupy the fifth floor, along with extensive conference and meeting facilities (full occupant list).
